Exhibition Stand Requirements: A Pre-Production Checklist
A checklist for collecting the exhibitor manual, plan, approvals, service requirements and access information before fabrication, without assuming universal venue limits.
Start with the organizer’s manual for the edition you will attend, not an older file from another event. Obtain the plan, stand number, boundaries, open sides and drawing deadlines. This is an information-preparation checklist, not a statement of universal height, area or load limits.
Drawings and technical review
Ask the organizer which drawings and documents are required for the proposed design and who reviews them. Project details may require specialist engineering assessment, to be established with the relevant parties before fabrication. Retain comments and approved versions and route material changes through the applicable review process.
Services, materials and operation
Collect electrical, data and other service requirements alongside equipment specifications and operating locations. Clarify any organizer-required material documentation or supplier certificates. A marketing description of a material should not replace a document specifically required for the project.
Access, installation and dismantling
Verify loading windows, entrance dimensions, transport routes, crew and vehicle access procedures and temporary storage arrangements. Coordinate sequencing with venue services and client-supplied equipment. Define handover, dismantling and waste or return-transport arrangements according to agreed scope and venue requirements.
Record responsibilities before work starts
Identify who supplies documents, approves drawings, books services and provides equipment. Send Stage Up the manual, plan and available approvals before the manufacturing programme is finalized. Published visitor opening times do not establish contractor build-up hours or access permissions.
